Front of House | Hotel Background | Education Establishment

A highly regarded University in the South Eastern suburbs of Melbourne who are committed to quality education, outstanding research and international engagement now have the opportunity for someone to join their front of house/reception on a 6 month contract. The main purpose of the position is to help the Universities Residential Services deliver services to thier clients. 

Your main responsibilities will include but not be limited to; 

  • Provide general administrative and office support services including:

    • drafting, preparing and collating word documents, reports and correspondence
    • maintaining an efficient filing system
    • answering telephone calls and drawing on knowledge of the work area's procedures to respond to general inquiries (under guidance for non-standard matters)
    • handling, collating and distributing mail and other correspondence
    • greeting and assisting a range of visitors in a professional manner
    • data entry, record keeping and basic reporting using multiple databases
  • Provide administrative support for meetings, projects, events, programs, activities and committees.
  • Build, maintain and apply a comprehensive knowledge of the work area’s policies, procedures and techniques to provide services and find appropriate solutions to day-to-day issues.
  • Provide a consistently high quality of customer service in dealing with students, staff and other key stakeholders.
  • Conduct routine inspections based on documented checklists, log maintenance requests and ensure contractor service delivery standards are met.
  • Review the efficiency and effectiveness of work practices and procedures and implement improvements as directed.
  • Develop and maintain excellent working relationships with a range of internal and external stakeholders and use these to facilitate communication.

Working in a small team dynamic we are looking for someone with:

  • Experience working in a hotel environment
  • Experience providing professional administrative support services in a busy office environment
  • Well-developed communication skills, including the ability to draft documentation, interact with a diversity of colleagues and clients, and maintain confidentiality.
  • An understanding of the complex issues and problems faced by University students aged 18 – 25 years.
  • Demonstrated experience working in a tertiary residential communal environment.
  • Well-developed organisational and time-management skills, including the ability to plan and organise work to meet priorities and deadlines.
  • Excellent attention to detail.
